Accounts and venues
How you sign in to HaiLa, what each role on the team can do, and how you move between venues.
How you sign in
#The restaurant team signs in everywhere with an email address and a password: in the dashboard at haila.md/en/owner/login, and in the apps on the phone. The same credentials work in all of them.
A guest account is something else
Customers sign in to the HaiLa app with a phone number and a code by SMS. That account does not open the dashboard and has nothing to do with the team account, even when it belongs to the same person.
Accounts are not created by themselves. A new one appears in two ways: we create it when your venue goes live, or the owner invites someone from the team. The invitation arrives by email, is valid for 7 days, and the invited person sets their password when they open it. That far and no further: an account made this way opens neither the dashboard nor the apps. For an account that actually gets in, write to hello@haila.md.
Neither inviting nor removing moves access
These are two halves of the same problem, both on our side. An accepted invitation grants no access, so a new person cannot work until we make the account. And removing someone under Team takes them off the list without taking their access away: a person who has left you keeps signing in with the same rights, and so does anyone you switched to suspended. When someone leaves, write to hello@haila.md the same day and we cut the access. Do not read the Team list as the answer to who can sign in.
If you forgot your password, use the link on the dashboard sign-in page. The phone apps have no password recovery, so reset it in the dashboard and then sign in to the app with the new password.
Roles on the team
#A venue has two roles: owner and booking administrator. Both sign in to the dashboard and to the apps, and both see the same sections.
| Role | What it can do |
|---|---|
| Owner | Everything about the venue, plus inviting and removing people from the team. |
| Booking administrator | Everything about service: reservations, guests, events, menu, reviews, settings. Cannot invite anyone. |
The team is managed in one place: Settings, the Team section. There you invite someone by email address, see invitations still waiting, and remove people who no longer work with you.
Settings also holds a Notifications section, with switches for messages to guests. Do not rely on them: the alerts your team receives are set per account, in the app, not there. If you want something changed about your venue notifications, write to us.
The Team section is in English
It is the one part of the dashboard that is not translated. A booking administrator who opens it gets a message that they lack permission, also in English. That is their role, not a broken account.
Several venues on one account
#One account can hold several venues. In the dashboard you see all of them on the first page, Portfolio, and move between them from All venues. In the phone apps, the switch exists in exactly one place.
| Where you are | How you switch venue |
|---|---|
| Dashboard | All venues, in the left rail. Every venue you have access to. |
| Pro app on Android | More, then Profile, then Switch Restaurant. It appears only if you have at least two venues on the Pro plan. |
| Pro app on iPhone or iPad | More, then Profile, then Switch Restaurant. It appears only if you have at least two venues on the Pro plan. The venue you are in is ticked. |
| Lite app on Android | On a Lite-plan venue: More, then the Pro card. If you have other venues on the Pro plan, that card opens them, and with two or more it raises the Switch Restaurant list. On a venue that is itself on the Pro plan, the card opens the Pro workspace for that same venue. |
| Lite app on iPhone | No switch. The app opens the venue linked to your account. |
You see one venue at a time, on any phone
The phone apps work on one venue at a time, the one you picked. The dashboard shows all of them together on Portfolio, so open the dashboard when you want the whole picture. The switch in Pro changes which venue the app is on; it does not close the other one and it changes nothing for guests.
