Reservations
Everything about a reservation, from the request to the table being freed.
Read a new request and decide
#Every reservation that arrives through HaiLa starts as a pending request. Until you answer, the guest does not know whether they have a table, and the request expires on its own if you leave it unanswered.
- Open Today.
- Read the list of requests waiting for a decision; the oldest sits first, and each one shows how many minutes it has been waiting.
- For everything else about a reservation, open Reservations and click the guest name.
- Open the Today tab.
- Pending requests sit at the top, with the time, party size and special requests.
- Tap the request to open it.
- Open Bookings.
- New requests sit under Pending.
- Tap the reservation: you see the time, party size, special requests and phone number.
While you are only reading, nothing changes for the guest. In their app the reservation stays Pending, and all they have had is the acknowledgement that the request reached you.
- A request for today expires after 3 hours, and one for another day after 24 hours. It usually also closes one hour before the reservation time, but a request that arrives so late that this hour has already passed still gets a minimum window of 15 minutes.
- You get a reminder 15 minutes after the request arrives and an urgent alert 30 minutes before it expires.
Accept a reservation
#A new request stays pending until you respond. As long as you have not responded, the guest does not know whether they have a table.
- Open Today.
- Find the request in the action list.
- Click Accept.
- Open the Today tab.
- Tap the request.
- Tap Accept.
- Open Bookings.
- Tap the request.
- Tap Confirm.
- Pick a table if you are asked for one, or skip that step.
The reservation moves to confirmed. The guest receives a notification and an email with the confirmation code, then a reminder 24 hours before and another one hour before. The reservation reaches the invoice for the day it is booked on, not the day you confirmed it.
- If you cannot host the group at the requested time, propose another time instead of declining.
- In the dashboard the button is called Accept under Today and Confirm under Reservations. They do the same thing.
Decline a request you cannot take
#A quick decline leaves the guest time to look elsewhere. Declining costs you nothing, exactly like a request you let expire.
- Open Today.
- Find the request in the action list.
- Click Decline.
- Open the request from the Today or Bookings tab.
- Tap Cancel.
- Confirm in the dialog that appears.
- Open Bookings.
- Tap the request.
- Tap Cancel Booking.
The reservation becomes Cancelled. The guest receives a notification that the restaurant could not take the request, plus the cancellation email. You pay nothing for a declined request, and nothing for one you let expire.
- There is no reason field, so the guest never learns why you declined. If the reason matters, call them.
- Declining and cancelling are the same action at two different moments in the life of a reservation: both move it to Cancelled. The buttons are named differently, the consequences are identical.
- In the dashboard the button applies immediately, with no confirmation dialog. Lite and Pro ask you to confirm first.
- If another time would work, proposing keeps the request alive; declining closes it.
Propose a different time instead of declining
#When the requested time does not work but another one does, a proposal keeps the guest. While the proposal is waiting for an answer, the request no longer expires and you stop getting reminders about it.
The dashboard does not propose times. From here you can only accept or decline. Send the proposal from the Lite or Pro app on your phone, or decline the request and call the guest to agree on another time.
- Open the request from the Today or Bookings tab.
- Tap Propose.
- Choose a date and time, or take one from Quick pick.
- Tap Send Proposal.
- Open Floor.
- Tap the table and open the pending request in its panel.
- Tap Propose Another Time; on iPad the button reads Propose another time.
- Pick the time and confirm.
The reservation stays Pending, and the guest receives an email and a notification with the proposed time, which they can accept or decline in the app. If they accept, the reservation moves to the new time, becomes Confirmed and gets the confirmation code.
- You can also propose on an already confirmed reservation, but it then returns to Pending until the guest answers.
- When you run the automatic assignment in Plan and a reservation has no free table, its card offers the first free time by itself, as No table free, propose 19:30. It is the same proposal, sent from somewhere else.
- A proposal nobody answers never expires. As long as the guest stays silent the request can sit there indefinitely, so call them if they have not answered by the next day.
- The proposed time must be in the future; a proposal for an hour that has passed can no longer be accepted.
See whether the guest accepted your proposal
#No app tells you when the guest answers your proposal. If you do not check, an accepted reservation goes unnoticed and a declined one quietly lands back in your queue.
When the guest accepts, their reservation moves to the new time, becomes Confirmed and gets the confirmation code. When they decline, they receive nothing further, and the request comes back to you with the response deadline still running.
- You are not notified either way, accepted or declined.
- Pro shows no sign anywhere that a proposal is out and waiting; the only trace is the time changing. Only Lite writes You proposed and the time.
Mark a party as seated
#Seating is the only signal that the guest actually turned up. It takes the reservation out of the arrivals list and shows the table as occupied on the floor plan.
- Open Today.
- Find the confirmed reservation under Today's service.
- Click Seat.
Lite does not track the visit in the room. The reservation stays Confirmed and closes itself after its time. If the guest did not turn up, mark a No-show once the reservation time has passed.
- Open Bookings or Floor.
- Open the reservation.
- Tap Seat.
The guest receives nothing; seating is an internal signal. In their app the reservation stays confirmed.
- A reservation left seated closes automatically 8 hours after you marked it seated.
- On Android, once the reservation time has passed, the card swaps its quick Seat button for No-show. If the party is running late, open the reservation: Seat Now is still there in the details. On iPad the quick button stays on the card as well.
Close a reservation when the party leaves
#Closing frees the table and sends the review invitation. If you do not do it, HaiLa closes the reservation itself later, invitation included.
- Open Today.
- Find the seated reservation.
- Click Complete.
Lite does not close reservations. A confirmed reservation closes itself 4 hours after its time, so there is nothing to do here.
- Open Bookings.
- Open the seated reservation.
- Tap Complete.
The reservation becomes Completed, and the guest receives a notification inviting them to leave a review.
- A confirmed reservation closes automatically 4 hours after its time, and a seated one 8 hours after you marked it seated.
- Automatic closing sends the same review invitation. That is why a reservation the guest never showed up for must be marked as a No-show rather than left to close itself.
Record a no-show
#A no-show is the only trace that the guest did not arrive. Without it, the reservation closes automatically as completed and the guest is invited to review a visit that never happened.
- Open Today.
- Find the confirmed reservation once its time has passed.
- Click No-show.
- Open the reservation from the Bookings tab.
- Tap No-show; the button only appears after the reservation time.
- Confirm in the dialog that appears.
- Open Bookings.
- Open the reservation.
- Tap No-Show.
The reservation becomes No-show and stays in the guest history. The guest receives no notification at all. The reservation remains billable: a confirmed reservation that came through HaiLa costs 1.00 EUR plus VAT even when the guest never arrived.
- In Lite and Pro the button only appears after the reservation time, so a future reservation can never be marked by mistake. The dashboard has no such guard: there No-show can be pressed at any moment, with no confirmation dialog, and the result is final and billable.
- If the guest lets you know they are not coming, cancel the reservation instead of marking a no-show. A cancellation is never billed, whoever made it, you or the guest. A no-show is.
- A confirmed reservation nobody touches stays billable. Billable means not cancelled, not that the guest turned up.
Cancel a reservation you already confirmed
#Something breaks in the kitchen, a table gets double booked, the guest calls. Cancelling tells the guest and takes the reservation off the invoice.
- Open Reservations.
- Click the guest name.
- Click Cancel in the panel that opens.
- Open the reservation from the Bookings tab.
- Tap Cancel.
- Confirm in the dialog that appears.
- Open Bookings.
- Open the reservation.
- Tap Cancel Booking.
The reservation becomes Cancelled and the guest receives the cancellation email. A cancelled reservation does not reach the monthly invoice, whoever cancelled it, you or the guest.
- Today has no cancel button for a confirmed reservation. Use Reservations.
- In the dashboard the button applies immediately, with no confirmation dialog.
- The invoice is calculated once, at 3 in the morning, for the day that just closed, from whatever status the reservation holds at that moment. A reservation cancelled the next day, after that calculation, stays billed as it stood at 3.
- If you closed today's reservation by mistake, the Pro app can bring it back with Reopen. For a past day that button is gone.
Take a reservation over the phone
#A phone reservation written into HaiLa holds the table in the same place as the online ones, so the two cannot overlap. Reservations your team enters are free.
The dashboard does not create reservations. Write the reservation in the Pro app, on a phone or iPad. It shows up under Today within seconds, and under Reservations once you change the day or reload the page.
Lite has no reservation form. Phone reservations stay in your own book and HaiLa does not know about them, so keep them in mind when you accept requests for the same time.
- Open Bookings.
- Tap New Booking.
- Choose the date, time and party size.
- Pick a table, or skip that step.
- Enter the name and phone number, then confirm the reservation.
The reservation is created straight as Confirmed, with a confirmation code. If you also filled in an email address, the guest gets the confirmation by email. If not, all they have is what you told them on the phone, because the reservation is not linked to any HaiLa account.
- Name and phone number are required.
- You cannot create a reservation more than 24 hours in the past.
- A phone reservation is not linked to a HaiLa account, so it never enters the loyalty programme.
Recognise a returning guest
#A guest you already know does not need to spell everything out again. Picked from the list, the reservation stays attached to their record, so next time you see their visits, the team notes and their no-shows.
The dashboard does not create reservations, but it does show the history. Open a reservation under Reservations and read About the guest: visits, team notes and the last visit.
Lite has no guest records. The reservation card shows the name, the phone number and the special requests, and that is all.
- Open Bookings and tap New Booking.
- On the guest details step, start typing the name or phone number.
- Pick the guest from the results; the name and phone fill themselves in.
The guest sees nothing different. The reservation stays attached to their record, so on their next visit the team can see how many times they have been and what notes you left.
- Search starts at 2 characters.
- If the guest is not in the list, type the name and phone number by hand.
Add a walk-in
#A walk-in occupies a real table. If you do not enter them, the floor plan shows that table as free and somebody seats another reservation on top of them.
The dashboard does not record walk-ins, it only displays them. Enter them in the Pro app, straight onto the table where you seated them. On a Lite venue the dashboard does not show walk-in rows at all.
Lite has no tables, so there is nowhere to seat them. Keep walk-ins in your own book and account for them when you accept requests for the same time.
- Open Floor.
- Tap a free table.
- Choose Seat Walk-in.
- Enter the party size and confirm.
Nobody is notified, because the guest has no reservation in HaiLa. The table shows as occupied on the floor plan, and the visit is closed with Complete Walk-in.
- A walk-in has no confirmation code and never enters the loyalty programme.
Assign a table to a reservation
#A reservation without a table is a promise without a place. Assigning ties it to a real table, so the same table never goes to two parties.
The guest gets no notification when a table is assigned. The table appears on the reservation on the floor plan and in the Table column in the dashboard.
- The card takes two gestures: tap it to open the reservation and review it, or drag it onto a table to assign that table on the spot. The assignment is written the moment you drop the card on a table.
- A drag assignment leaves no undo strip; one made from the reservation, with Assign Table, does. If you want the safety net, assign from the reservation.
- A party larger than the table starts an assignment across several tables.
Move a party to a different table
#Parties move: they ask for another area, the next table frees up, the window seat is draughty. Moving them in the app keeps the floor plan honest for the whole team.
The dashboard does not move parties between tables. Move them in the Pro app; the dashboard shows the new table right away.
Lite has no tables, so there is nothing to move. Seating stays with the team in the room.
- Open Floor or Plan.
- Drag the reservation from the old table onto the new one.
- Or open the reservation and tap Change Table.
The guest gets no notification. The old table shows as free and the new one as occupied, for the whole team.
- If you change the time of a reservation that already has a table, and that table is busy at the new time, the app asks whether to take the table off the reservation.
Remove a table assignment
#A released table is immediately available to someone else. You do this when the party is no longer coming at that hour, or when you want to lay out the whole evening again from scratch.
The dashboard does not remove tables from reservations. Do it in the Pro app; the Table column then empties in the dashboard too.
Lite has no tables, so there is nothing to free. A reservation you can no longer take is cancelled instead.
- Open the reservation, from Bookings or from Floor.
- Tap Remove Table.
The guest gets no notification and the reservation stays confirmed. The table shows as free again and the reservation returns to the tray of unassigned reservations.
- Removing the table does not cancel the reservation. The guest is still coming, they just have no place set for them yet.
Let Plan assign the tables for you
#At thirty reservations a night, assigning them one by one eats the service. Automatic assignment walks through all of them, seats what fits and leaves you only the cases that need a person.
The dashboard cannot start an assignment run. It can only leave assignment permanently on: set Table assignment to Automatic under Settings, Booking rules.
Lite has no tables to assign. HaiLa works out how many reservations the venue can take without a floor plan.
- Open Plan and choose the day.
- Tap the automatic assignment button, called Auto Assign on Android and Auto-assign on iPad.
- Watch the progress bar: how many reservations got a table, how many landed in Needs attention and how many were skipped.
- Work through the reservations in Needs attention one by one.
- To roll the whole run back, tap Undo next to the automatic assignment button.
Guests receive nothing for assignments. The one exception is Automatic mode: when no table fits, HaiLa proposes the first free time to the guest itself, and they get that proposal by email and in the app.
- Reservations with special requests are not assigned blindly; in the by-hand mode they come to you, under Needs attention.
- Automatic assignment only works on the day open in Plan.
- The Undo button next to automatic assignment has no timer: it stays until you use it or start another run, and it rolls back the entire run in one tap.
Choose between by-hand and automatic assignment
#The setting decides who picks the table: your team or the system. In automatic mode HaiLa can send the guest a proposal for another time without anyone pressing anything, so it is worth knowing which mode you are on.
- Open Settings.
- Choose Booking rules.
- At Table assignment, choose By hand or Automatic.
- Click Save.
The setting exists for the venue but changes nothing in a venue without tables. Lite assigns no tables, neither by hand nor automatically.
- Open More, then Settings.
- Under Booking settings, tap Auto-Assign.
- Choose Ask me or Automatic.
In the by-hand mode the guest sees nothing: your team picks the table. In automatic mode a reservation with no matching table is sent a proposal for another time by itself, and the guest sees it by email and in the app, with the choice to accept or decline.
- In the dashboard this is a policy you set, not an action you take. The dashboard assigns no tables in either mode; on By hand, the table is chosen by your team in the Pro app.
- The same setting has two names: By hand in the dashboard and Ask me in the Pro app.
- The setting belongs to the venue, not to the device. Changed in one place, it applies everywhere.
Undo an assignment
#Fingers miss. Undo fixes it on the spot, without hunting the reservation back down in a list.
The dashboard does not assign tables, so it has nothing to undo. Fix it in the Pro app.
Lite does not assign tables. If you got a reservation status wrong, the dashboard can still move it while it is Pending or Confirmed. A reservation that has reached Completed, Cancelled or No-show has no buttons left in the dashboard. If it is one of today's, the Pro app can still bring it back with Reopen; for a past day, that one needs us.
- Open the reservation and assign the table with Assign Table.
- A strip appears at the bottom of the screen with the guest name and the table; tap Undo on it.
- If you assigned by dragging the card onto a table, there is no strip: open the reservation and use Remove Table or Change Table.
- After an automatic assignment run, tap Undo at the top of Plan to roll the whole run back.
The guest sees nothing, neither the assignment nor its undo. The table is free again and the reservation returns to the tray of unassigned reservations.
- The strip only appears for an assignment made from the reservation, not for one made by dragging. Dragging has no safety net, so look at the table before you let go of the card.
- The strip stays on screen for a few seconds. After that, correct it from the reservation itself.
- In Timeline, a wrong move gets its own strip at the bottom of the screen, with Undo.
Change the time, party size or notes
#A party grows from four to six, someone is running half an hour late. Editing keeps the reservation right for the whole team, but it does not tell the guest, so speak to them yourself.
The dashboard does not edit reservations; it can only change their status. Edit in the Pro app, and the dashboard shows the new details immediately.
Lite does not edit reservations. If the time no longer works, propose a new one: the guest gets the proposal and decides.
- Open Bookings.
- Open the reservation.
- Tap Edit.
- Change what you need: name, phone, email, date and time, party size or special requests.
- Tap Done.
When you edit a reservation, the guest gets no notification and their confirmation code stays the same. The one-hour reminder moves to the new time, but the 24-hour one stays on the old time. If the change concerns them, call them.
- When the guest edits a confirmed reservation themselves, it goes back to Pending and you have to accept it again.
- If you move a reservation to a time when its assigned table is busy, the app offers to take the table off.
Work a single service day
#During service only one day matters. The day view shows everything happening today, in time order, without the noise of the rest of the week.
- Open Reservations.
- Choose Day.
- Move to the day you want with Previous and Next; there is no calendar, you step one day at a time.
- Filter by status, or search by name, phone or table.
- Open the Bookings tab.
- Choose Calendar.
- Tap a day to see its reservations.
- Or stay on List and filter by status.
- Open Bookings.
- Choose the day from the strip of weekdays.
- Choose how to read it: Calendar, Timeline or Kanban.
Nothing changes for the guest. This is only how you read the day.
- Today is fixed to the current day and has no date picker. For any other day, go to Reservations.
Look at a whole week
#The week shows where the pressure gathers, so you can see when to put extra people on and when you can still take a large party.

- Filters and search stay on when you switch from Day to Week.
Read the timeline and catch overlaps
#The timeline puts the hours side by side, so you can see at a glance which party is late, which table is running over its turn time and where two reservations land on the same table.
The dashboard has no timeline. Reservations on Day shows the same day as a list, with the time, table and status of every reservation.
Lite has no timeline, because it has no tables to track. The day list filtered to Confirmed gives you the same order of hours.
- Open Bookings.
- Choose Timeline.
- Choose the service: Lunch, Dinner or Full Day.
- Read the flags on the cards: minutes late, minutes over and Arriving soon.
Nothing changes for the guest. The timeline only shows; to change anything, open the reservation.
- You can drag a reservation onto another table straight from the Timeline. The move leaves a strip at the bottom of the screen, with Undo.
- A visit length comes from Average time at table in the venue settings. If the timeline constantly shows reservations running over, that setting is too short.
Call the guest from the app
#A phone call settles in thirty seconds what a notification never settles: the party running late, the table that freed up early, the special request nobody understands.
- Open Reservations.
- Click the guest name.
- Click the phone number in the panel.
- Open the reservation from the Today or Bookings tab.
- Tap Call.
- Open the reservation.
- Tap Call.
The guest sees a call from your number, not from HaiLa. Nothing about the reservation changes until you change it.
- In the dashboard the number opens whatever handles calls on that computer. If nothing does, copy the number.
- Today never shows the phone number, even though it has it. The numbers you can tap are in Reservations, in the reservation panel, and in Guests, on the guest record.
- Reservations with no phone number have no call button.
