Floor plan
The map of your room: how to read it during service and how to change it when the room changes. Almost everything to do with the plan is done from the Pro app.
Read the live floor at a glance
#In the middle of service there is no time for lists. The plan shows the room as it is right now: which table is taken, which is free, and who is sitting where.
The dashboard does not show the live room. Its plan editor draws the room but does not see the day reservations, so tables never appear busy or free there. For the state of the room use the Pro app; in the dashboard, Today shows the same reservations as a list and Reservations shows each one its table, in the Table column.
Lite has no tables and no floor plan. The day is read from the Today tab, as a list of reservations.
- Open the Floor tab.
- Pick the floor, if you have more than one.
- Read the map: occupied tables are marked, free ones are not.
- Tap a table to see who is at it and what is coming next.
Nothing changes for the guest. The plan only shows; to change something, open the table or the reservation.
- Do not confuse the two tabs. Floor is the map of your room. Plan, the tab beside it, is where you assign reservations to tables. They are named almost the same and they do different things.
- The plan updates itself as your team works from other phones. You never need to reload it.
Enter and leave edit mode without losing anything
#The plan does not change by accident during service. Changes are made in a separate mode, and until you save, nothing reaches the room.
The dashboard has no separate edit mode: there the plan editor is itself an editing screen, in Settings under Floor plan. What you do there applies straight away.
Lite has no floor plan, so there is nothing to edit. What Lite tunes is capacity, not the map: Settings gives you Minimum Lead Time, Booking horizon and Booking Blackouts. Those are your levers on what a guest can book.
- Open the Floor tab.
- Tap Edit.
- The EDIT MODE banner appears at the top: from now on you are working on a copy, not on the live room.
- When you are done, tap Save. To throw everything away, tap Cancel.
While you are editing, neither guests nor the rest of your team see any of it. Your changes reach the room, and what a guest can book, only when you save.
- There is no autosave. If you leave without saving, the app asks Discard Changes?, offering Discard and Keep Editing. Discard throws away everything you did.
- On Android the phone back button goes through the same question, so you cannot lose the work with one stray gesture.
- The Save button stays greyed out while nothing has changed. If it is grey, you have nothing to save.
Add a table
#Every table in HaiLa is a seat you can promise a guest. A table that exists in the room but not in HaiLa never receives an online reservation.
- Open Settings and choose Floor plan.
- Under Add Table, click the size you want: 2, 4, 6 or 8 Seats.
- Drag the new table to where it stands in the room.
- Click it, choose Edit Details and set the number, capacity and location.
Lite has no tables. Your capacity is worked out by HaiLa without a map of the room, so there is nothing to add.
- Open the Floor tab and tap Edit.
- Tap Add Table.
- The new table appears on the map; drag it where it stands in the room.
- Open its properties and set the seats, number, shape and zone.
- Tap Save.
Once saved, the table joins the seat count: HaiLa can offer guests times it used to show as full. Guests get no notification, but from now on they can book more.
- In the Pro app a new table arrives with 4 seats, a rectangular shape, the indoor zone and the next free number. All of it is changed before you save.
- Nothing checks whether two tables share a number or overlap on the map. Numbering stays your job.
- In the dashboard the Floor plan section only appears for a venue that already has at least one table. The first table is made in the Pro app, or by asking us.
- The dashboard saves on the spot, on every action, and confirms with a short message. The Pro app gathers your changes and sends them only when you tap Save.
Move, resize or rotate a table
#The map is only useful if it looks like the room. A table drawn where it is not confuses the team at exactly the moment they are glancing at a phone.
- Open Settings and choose Floor plan.
- Drag the table into position; it saves itself.
- To rotate, click the table and choose Rotate Table. Each click turns it a quarter.
Lite has no tables and no map of the room.
- Open the Floor tab and tap Edit.
- Drag the table where you want it; it settles onto the grid.
- For size and rotation, tap the table and use the plus and minus buttons in its panel: width and height move in tens, rotation in fifteens of a degree.
- Tap Save.
The guest sees nothing: the map belongs to your team. Neither the seat count nor the times a guest can book change when you only move a table.
- Size and rotation change only from the panel buttons. There are no corners to drag and no two-finger rotation, in any app.
- The drawn size can only be changed from the Pro app. The dashboard moves and rotates, but does not resize.
- Rotation works differently in the two places: fifteen degrees at a time in Pro, a quarter turn per click in the dashboard.
- Moving a table on the map does not change its capacity. A table drawn bigger does not seat more people; seats are set separately.
Set the seats, number, shape and zone
#Seats decide which parties fit at the table, and the zone decides what it can be merged with. They are the two things HaiLa uses when it gives a table to a reservation, or does not.
Changed seats change what the guest sees too: a table of 6 set to 4 removes from the list the times a party of 6 would have fitted. The number, shape and zone stay internal; the guest never sees them.
- Seats are set between 1 and 20, the same in the dashboard and in the Pro app. The table number is text, so it can be A1 or Terrace 3, not only a digit.
- The zones are indoor, outdoor, terrace and patio. The zone matters when merging: only tables in the same zone and on the same floor can be joined.
- The shape is chosen only in the Pro app. In the dashboard the details window carries the number, the capacity and the location, and that is all.
- On iPad the location row and the shape row each end with a blank option, marked with a dash or a question mark. Do not pick it; it is a display slip, not a real zone.
- A table number is not quite private: on the older website screens and in the guest calendar entry it can show up.
Delete a table
#Rooms change: a table goes, the terrace closes for winter. A deleted table leaves the seat count, so HaiLa stops promising guests a seat you do not have.
- Open Settings and choose Floor plan.
- Click the table and choose Delete Table.
- Confirm in the browser prompt.
Lite has no tables, so there is nothing to delete.
- Open the Floor tab and tap Edit.
- Tap the table.
- In its panel, tap Delete Table.
- Confirm in the Delete Table? dialog.
- Tap Save.
Guests get nothing. But here is the part you need to know: if the table was assigned to a pending or confirmed reservation, that reservation survives and only loses its table. It goes back among the reservations without a table, and the guest learns nothing, because for them nothing changed. After the deletion HaiLa offers fewer times, because it has fewer seats.
- The Pro app warns you itself when the table has an active reservation: it tells you the reservation keeps its data but loses its table assignment, and asks whether to delete anyway.
- In the Pro app the deletion is refused only while someone is actually sitting there, meaning a party marked seated or a seated walk-in. Close the visit first.
- The dashboard is stricter: it refuses to delete a table that has any assigned reservation still open. When does not matter: one a month out blocks it as firmly as tonight, and an old reservation the team never closed blocks it indefinitely. A table with future reservations needs the Pro app, or the reservations moved first.
- That refusal shows up badly. Instead of an explanation the dashboard prints a code, floorPlan.error.tableHasReservations. You did nothing wrong: it is a piece of text missing on our side. It means exactly what is above, that the table has a reservation assigned.
- A merged table cannot be deleted. The app asks you to unmerge first.
- Deletion is permanent: the table does not come back, you only make a new one, without the old one history.
Add walls and dividers
#A plan you recognise your room in is read at a glance. Walls and dividers are the only thing that makes the map look like your place.
The dashboard does not draw walls and dividers. Its editor works with tables only. Draw them from the Pro app.
Lite has no floor plan, so there is nothing to draw on.
- Open the Floor tab and tap Edit.
- Choose Wall or Divider.
- Drag the element where it belongs and set its length, thickness and rotation from its panel.
- Tap Save.
A guest never sees your floor plan, so nothing changes for them. Walls add and remove no seats: nothing books them and they count for nothing.
- They are drawing only. A divider placed between two tables does not stop them being merged and changes nothing about what a guest can book.
- On iPad, deleting a wall happens immediately, with no confirmation. On Android you are asked to confirm.
- On iPad the wall and divider buttons are in English, Wall and Divider, whatever language the app is in.
Merge two tables for a large party
#A party of eight does not fit at a table for four. Merging makes one table out of two, with the seats added together, so the party takes one place on the plan.
The dashboard does not merge tables. Its editor moves and edits tables, but has no merge. Merge from the Pro app; afterwards the dashboard shows the merged table with its new capacity.
Lite has no tables, so there is nothing to merge. For a large party, look at your room and decide whether you can take the request.
- Open the Floor tab and tap the table you are starting from. Do not enter edit mode; merging is done on the live room.
- In the table panel, tap Merge Tables.
- Pick the second table from the list. The app tells you itself: choose a free table on the same floor and in the same zone.
- Confirm in the Merge Tables X and Y? dialog, which tells you how many seats the merged table has.
The guest receives and sees nothing. On the plan the two tables become one, with the seats added together, and HaiLa can now offer a large party times it previously had nowhere to put them.
- It is not a drag. Dragging on the map moves a party from one table to another, which is a different thing entirely.
- The merge is refused if either table is tied up: a walk-in is seated at it, an active reservation is assigned to it, or a reservation however far in the future is assigned to it. One is enough.
- That is why merging is easiest before assignments for that evening have begun.
- If no table fits, you get the message that no compatible free tables are available. Most often it is the zone: an indoor table does not merge with one on the terrace.
- The app does not offer you a merge of an already merged table with a third one. If you need a still bigger party, unmerge and build it again.
Split a merged table back
#The big party has left and the room needs its ordinary tables. Unmerging puts them back exactly as they were, on the map included.
The dashboard does not split merged tables. Unmerge from the Pro app; the dashboard then shows the tables back, each with its own capacity.
Lite has no tables, so there is nothing to split.
- Open the Floor tab and tap the merged table.
- In its panel, tap Unmerge Tables.
- Confirm in the Unmerge Table X? dialog.
The guest sees and receives nothing. The tables come back on the map with the number, seats, shape, rotation and position they had before the merge, and HaiLa goes back to offering them separately.
- Unmerging restores the tables exactly as they were. If HaiLa can no longer put them back exactly, it refuses rather than restoring them approximately. If you hit that refusal, write to us.
- Like merging, unmerging wants the tables free. Close the visits and remove the assignments first.
- Unmerge before you delete. A merged table cannot be deleted while it is merged.
Add a second floor or a terrace
#A venue with a terrace and a dining room has two maps, not one crowded one. Floors split the plan into pieces the team reads separately.
- Open Settings and choose Floor plan.
- Click Add Floor. You are not asked for a name: the dashboard calls it Floor 2, Floor 3 and so on by itself, and switches you to it straight away.
- Add the first table to it; until then the floor does not really exist, and the dashboard tells you so.
Lite has no floor plan, so it has no floors.
- Open the Floor tab and tap Edit.
- Under Floors, tap Add Floor.
- Type the floor name and tap Add.
- Add the tables on the new floor, then tap Save.
Guests do not see floors and cannot pick one when booking. The split is for your team; what reaches the guest is only the extra seats, if you added tables too.
- The floor name is typed only in the Pro app, and there it is free text: Ground, Terrace, Small room, whatever you like. There is no list to choose from.
- A floor made in the dashboard keeps the name the dashboard gave itself, Floor 2, in English, whatever your language. That name sticks to the first table you add there, and the dashboard cannot rename floors. If you want a real name, make the floor in the Pro app; if you already made it here, rename it from there.
- A new floor is empty. Tables do not move onto it by themselves; you add them there or make them again.
- A floor with no tables is not kept. In the dashboard it does disappear if you leave without putting a table on it.
- The floor matters when merging: only tables on the same floor can be joined.
Rename a floor
#The floor name is what the team reads in a hurry. Big terrace says more than Floor 2.
The dashboard does not rename floors. Do it from the Pro app.
Lite has no floors and no map of the room. If you want your team to tell the terrace from the dining room inside HaiLa, the Pro app is the only place that happens.
- Open the Floor tab and tap Edit.
- Under Floors, pick the floor and tap Rename.
- Type the new name and confirm.
- Tap Save.
Guests never see floor names anywhere, so nothing changes for them. The tables all stay where they are, with their reservations.
- Renaming moves and deletes nothing. It is only the label above the map.
Delete a floor
#The terrace closes in autumn, a room becomes storage. A deleted floor takes all of its tables out of the count at once.
The dashboard does not delete floors. Do it from the Pro app. If you only want to stop reservations on the terrace for a while, a blackout window in Settings is simpler than deleting the tables.
Lite has no floors, so you cannot close off part of the venue. What you can do is stop reservations altogether for the period you care about: Settings, Booking Blackouts.
- Open the Floor tab and tap Edit.
- Under Floors, pick the floor and tap Delete.
- Read the dialog: it tells you how many tables the floor has and that all of them go.
- Confirm with Delete All Tables.
- Tap Save.
Every table on the floor goes with it, together with the walls drawn there. Guests get nothing, but from now on HaiLa offers markedly fewer times, because it has markedly fewer seats.
- Deleting a floor does not move the tables somewhere else. It deletes them. If you want to keep them, move them to another floor first.
- Pending and confirmed reservations on the deleted tables survive and only lose their table. A reservation with the party already seated stops the save; close the visit first.
- On Android the floor deletion is refused if it holds a merged table; unmerge first. On iPad there is no such stop, so look for merged tables yourself.
- For a seasonal closure, think twice: a blackout window stops the reservations without losing the map.
Save or discard a floor draft
#Everything you do in edit mode sits aside until you tap Save. That is the moment the room and the reservations really change, so it is worth understanding.
Until you save, guests see the old room and can book against it. On save, everything changes at once: new tables join the count, deleted ones leave, and the times offered on haila.md match the new room.
- Saving is all or nothing. If a single change is not accepted, for instance you deleted a table with a party sitting at it, nothing is saved and you stay in edit mode with all your work.
- There is no autosave, not even when you close the app. What you did not save did not happen.
- There is no plan history. Once saved, you only get back to the previous version by redoing the changes by hand.
Edit the floor plan from the dashboard
#Not everything about the room is done standing up, on a phone. For a bigger rearrangement, the dashboard has a plan editor too, on a large screen.
- Open Settings.
- Choose Floor plan.
- Work on the map: add tables, drag them, rotate them, edit their details and delete them.
- Do not look for a save button: every action saves itself.
A venue on the Lite plan has no tables, so the section has nothing to show.
- The same changes are made from the Pro app, in the Floor tab, with Edit.
- The Pro app additionally has the walls, the floors and the table merging.
Changes saved here are the same changes: added tables join the seat count and guests can book more, deleted ones leave it. The dashboard editor sends guests nothing.
- The Floor plan section only appears in the dashboard for a venue that already has at least one table. It is not the editor that is limited but the way in: with zero tables the section is simply not shown. The first table is created in the Pro app, or by asking us.
- The dashboard editor does not see the day reservations, so tables cannot be assigned from it and it does not show which table is busy now. It is a map editor, not a service screen.
- These stay in the Pro app only: walls and dividers, table merging, renaming and deleting a floor, the table shape and its drawn size.
